Position Summary We are seeking a highly skilled and experienced Senior Executive Assistant to support the Chief Executive Officer (CEO). The ideal candidate will be proactive, detail-oriented, and capable of managing a diverse range of responsibilities in a fast-paced environment. This role requires exceptional organizational, communication, and problem-solving skills, along with the ability to maintain the highest levels of confidentiality and professionalism. Key Responsibilities Executive Support: Act as the primary point of contact between the CEO and internal/external stakeholders. Manage and maintain the CEOs complex calendar, including scheduling meetings, appointments, and travel arrangements. Prepare meeting agendas, presentations, and documents; take accurate meeting minutes and follow up on action items. Screen and prioritize emails, phone calls, and correspondence. Project Management: Coordinate and oversee special projects as assigned by the CEO, ensuring timely delivery and high-quality outcomes. Collaborate with other departments to gather necessary information and provide updates to the CEO. Assist in strategic planning, tracking goals, and reporting progress. Travel and Logistics: Plan and coordinate all travel arrangements, including flights, accommodations, transportation, and itineraries. Ensure smooth travel experiences by troubleshooting any logistical challenges. Communication: Draft and proofread correspondence, reports, and presentations on behalf of the CEO. Communicate on behalf of the CEO with internal and external stakeholders, maintaining professionalism and clarity. Office Management: Organize and maintain files, documents, and records for easy retrieval. Manage expense reporting, reconciliation, and budget tracking for the CEOs office. Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism. Serve as a trusted confidant to the CEO, managing critical and private matters discreetly. Relationship Management: Build and maintain strong relationships with key stakeholders, including board members, investors, and senior executives. Coordinate board and leadership meetings, ensuring all materials and logistics are in place. Team Collaboration: Serve as a liaison between the CEO and other team members to streamline communication and workflow. Support the executive team as needed, demonstrating flexibility and teamwork. Qualifications and Skills Education: Bachelors degree in business administration, communications, or a related field preferred. Experience: Minimum of 8-10 years of experience as an Executive Assistant, preferably supporting C-level executives. Proven experience in managing complex schedules, projects, and high-stakes responsibilities. Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management and communication tools (e.g., Slack, Trello, Asana). Key Competencies: Exceptional organizational and time management skills. Strong written and verbal communication abilities. Ability to anticipate needs, solve problems, and think critically. Flexibility and adaptability to changing priorities. High level of emotional intelligence and interpersonal skills. Preferred Attributes Experience working in a high-growth or entrepreneurial environment.
