Job Title: Back Office Executive

Department: Operations / Administration
Location: Kolkata
Reports To: Back Office Manager / Operations Manager

Job Summary:

The Back Office Executive will be responsible for supporting the manufacturing company's operations by managing administrative and clerical tasks. This role involves coordination, documentation, and communication to ensure smooth business processes and compliance with company policies.

Key Responsibilities:

  1. Administrative Support:
    • Manage and maintain company records, databases, and files.
    • Ensure accurate documentation of purchase orders, invoices, and production reports.
    • Handle data entry and ensure the integrity and accuracy of data in ERP systems or other software.
  2. Coordination and Communication:
    • Liaise with internal departments such as production, sales, and logistics for smooth workflow.
    • Coordinate with vendors and suppliers to ensure timely procurement of materials.
    • Assist in responding to emails and handling inquiries from clients and stakeholders.
  3. Reporting and Analysis:
    • Generate daily, weekly, and monthly operational and financial reports.
    • Monitor inventory levels and notify relevant teams for stock replenishment.
    • Track and report key performance metrics to management.
  4. Compliance and Record-Keeping:
    • Ensure all documentation complies with company policies and statutory regulations.
    • Maintain records for audits, including payroll, production schedules, and quality reports.
  5. Process Improvement:
    • Identify opportunities for improving efficiency in administrative processes.
    • Support the implementation of new systems and workflows.
  6. Miscellaneous Tasks:
    • Manage schedules and appointments for executives if required.
    • Support other team members and handle ad-hoc administrative tasks.

Qualifications and Skills:

  • Education: Bachelors degree in Business Administration, Commerce, or a related field.
  • Experience: 1-3 years in a back-office or administrative role, preferably in the manufacturing sector.
  • Technical Skills:
    • Proficiency in MS Office (Excel, Word, PowerPoint).
    • Knowledge of ERP systems is a plus

We are seeking a meticulous and detail-oriented Data Entry Operator to join our manufacturing team. The ideal candidate will be responsible for accurately entering and managing data related to production, inventory, and other operational records. The role requires a high level of attention to detail and proficiency in data management systems to ensure smooth operations.

Key Responsibilities:

  • Accurately input, update, and maintain data into company databases, spreadsheets, and systems.
  • Verify and cross-check data for accuracy and completeness.
  • Generate reports related to production, inventory, and other operational metrics.
  • Maintain confidentiality of sensitive data and adhere to data protection guidelines.
  • Coordinate with other departments to collect and manage necessary information.
  • Assist in compiling data for audits, compliance, and quality checks.
  • Troubleshoot data inconsistencies and resolve discrepancies promptly.
  • Organize and store documents systematically for easy access and retrieval.

Required Qualifications:

  • High school diploma or equivalent; additional certification in computer applications or data entry is a plus.
  • Proven experience as a Data Entry Operator, preferably in a manufacturing or related industry.
