Role Overview:

Were looking for a sharp, reliable, and proactive Assistant Manager Admin to support and manage day-to-day administrative operations, estate management, procurement, vendor handling, and compliance. This role ensures efficient infrastructure, property management, and support services across locations.


Key Responsibilities:

  • Facility Management:
    • Oversee office infrastructure, housekeeping, security, and maintenance activities.
    • Coordinate AMC contracts and ensure service delivery across locations.
    • Maintain workplace safety, cleanliness, and compliance.
  • Estate & Lease Administration:
    • Manage lease agreements, renewals, and documentation.
    • Liaise with landlords, legal, and finance on property matters.
    • Maintain records of estate-related data and critical dates.
    • Travel to properties/sites for inspection, handovers, and coordination.
  • Procurement & Vendor Management:
    • Identify, evaluate, and onboard reliable vendors and service providers.
    • Handle procurement of office equipment, supplies, and admin services.
    • Negotiate terms, finalize contracts, and ensure cost-effective sourcing.
    • Monitor vendor performance, resolve issues, and maintain service levels.
    • Process purchase requisitions and ensure timely delivery of goods/services.
    • Coordinate with the Finance team for invoice processing and budget tracking.
  • Asset & Inventory Management:
    • Maintain accurate records of office assets, equipment, and consumables.
    • Track inventory, manage stock levels, and trigger procurement when needed.
  • Compliance & Documentation:
    • Ensure compliance with local regulations related to admin operations.
    • Maintain updated records of licenses, insurance, contracts, and policies.
  • Employee Support Services:
    • Manage travel arrangements, accommodations, and transport for employees.
    • Facilitate smooth onboarding/offboarding with admin support (ID cards, seating, access control, etc.).

Required Skills & Experience:


  • 5 to 7 years of experience in Administration, Procurement, or Estate Management roles.
  • Strong organizational, negotiation, and multitasking skills.
  • Experience in vendor sourcing, evaluation, and contract management.
  • Proficient in MS Office and admin/ERP tools.
  • Good communication and documentation abilities.
  • Basic knowledge of compliance and regulatory requirements.
  • Must be willing to travel for property and vendor-related work.

Qualifications:

  • Graduate in any discipline (B.Com/B.A./BBA preferred).
  • Diploma/Certification in Admin, Procurement, or Facility Management is a plus.

Work Environment:

  • Dynamic and operations-focused.
  • Field visits to vendor sites, properties, or branch locations as needed.
  • Flexibility to handle urgent facility or estate matters outside standard hours if required.
