Job Description

    The Executive Assistant will primarily support the Practicing Company Secretary in their day-to-day operations, ensuring smooth functioning of the office and effective client service. This role requires a high level of organizational skills, attention to detail, and a strong understanding of corporate law and secretarial practices. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations. Responsibilities Administrative Support: Manage diary and schedule appointments for the Practicing Company Secretary (PCS). Handle travel arrangements, including flights, accommodation, and visas. Prepare and submit expense claims. Coordinate meetings and conferences, including venue booking, participant invitations, and agenda preparation. Manage office supplies and equipment. Client Management: Assist in client relationship management by responding to queries and requests in a timely manner. Prepare and draft correspondence and documents, such as letters, emails, and reports. Coordinate with clients for document collection and submission. Legal and Regulatory Compliance: Assist the PCS in ensuring compliance with applicable laws and regulations. Prepare and file statutory returns and forms. Maintain updated records of company documents and statutory filings. Project Management: Support the PCS in project management activities, including task assignment, deadline tracking, and progress reporting. Data Management: Maintain accurate and organized electronic and physical files. Prepare and analyze reports and presentations as required. Team Coordination: Coordinate with other team members to ensure smooth workflow and efficient operations. Calendar management for executives Aid executive in preparing for meetings Responding to emails and document requests on behalf of executives Draft slides, meeting notes and documents for executives Qualifications Bachelor's degree Semi-qualified CS/CA or equivalent experience Proficient in Microsoft Office suite Experience in managing multiple priorities, administrative coordination, and logistics Well-organized, detail-oriented, ability to multi-task with great follow-up skills Experience in a PCS firm or law firm or corporate environment. Knowledge of accounting principles and practices. Experience in using legal research databases. Strong written and verbal communication skills.,
