Job Description

JOB TITLE - SCIENTIFIC OFFICER

RESPONSIBLE TO - REGIONAL MANAGER

SUBORDINATES - NIL

MAIN PURPOSE OF JOB

To attain defined quarterly and annual sales objectives and to promote the Companys products, image and reputation by strict adherence to Company policy in respect of territory management, activity levels and professional standards of performance.

PRINCIPAL RESPONSIBILITIES

Territory Management

To become fully familiar with the geography of the allocated territory, locating and recording all Doctors, hospitals and chemists.

To establish key target areas for sales activity by analysing each bricks sales potential and doctor population.

To regularly update (exclude/include) the Doctor master list of doctors within the territory according to criteria given by the Regional Manager.

To record, review and update whenever appropriate all information within the doctor database.

To plan monthly activity (Tour Programmes) and the weekly activity with the help of Sales activity Follow-up chart.

To re-categorise on an ongoing basis key contacts in line with Company procedure.

To maintain at all times adequate stocks of stationery and promotional materials for use during each day worked.

To work on a day to day basis according to concept of Geographic Activity Unit (i.e. optimised call sequence in a location)

To achieve a minimum call average of 10 doctors and 3 chemists per day.

To call on the selected target Doctors at least twice a quarter.

To record your call activity on Sales Activity follow up chart by Monday on the following week

Sales Presentation

To plan each call in line with Company Promotional strategy as given in the cycle guide.

To conduct all sales interviews in line with Company promotional strategy utilising the appropriate selling skills format.

To conduct a post-call analysis for every sales call, recording on ACP Card (Assessment of Call Progression) the outcome of the call as against the pre-call plan and formulating a pre-call plan for the follow-up visit.

To conduct all group details in line with Company Promotional strategy and utilising the appropriate selling skills format.

To conduct a post meeting analysis on all occasions, recording the relevant information on the ACP Card (Assessment of Call Progression).

Administration

To complete legibly and accurately your

- Tour programme (T.P.)

- Weekly Planning (W.P.)

- Daily Call Report (DCR)

- Stock and Sales Statement (S.S.S.) & order forms

To post the Regional Manager and Head Office your

- TP by the 20th of each previous month

- WP on Wednesday of each previous week

- DCR on Monday following the concerned week

- SSS & order forms by the 6th of the following month & order forms

To post by the 1st and the 16th of each month to the Head Office with copy to the Regional Manager, the fortnightly Expense statements duly completed together with supporting receipts.

Budgetary Control

To manage and control all promotional budgets allocated by the Regional Manager in order to achieve the Company objective and optimal performance against business objectives.

To obtain prior authorisation from the Regional Manager for all contact and business related expenditure.

Company Equipment

To maintain all promotional material and stationery in excellent condition to ensure correct portrayal of the Companys image and reputation.

Communication

To maintain regular and adequate communication with the Regional Manager and the Sales Force Department on all matters pertaining to the day to day working of the territory.

To inform the Regional Manager and the Sales Force Department without delay and with the appropriate reason of any day or work period disrupted or lost.

To plan and submit in advance on the appropriate form any request for leave of absence in holiday entitlement ensuring compliance with Company guidelines.

Communication to Head Office should be in writing on the memo pad and copy sent to the Regional Manager.

Any telephone communication with Head Office must be reported as soon as possible to the Regional Manager.

Distribution

To visit stockists / distributors at least twice in a month in order to

- Take Stock position - Settlement of bills / invoices

- Invoicing status - Records of breakages, expiry etc.

- Timely dispatch against orders - Close sales as per directives every month/order form

To check and take the required action to ensure that the Companys products are available at the major chemists shop.

Statutory Requirements

To be required to act at all times within the terms and conditions of service as specified in the Contract of Employment.

Training and Company Meetings

To prepare for the Regional Cycle meetings held quarterly, contribute to and/or participate in, discussion, training exercises and tests.

To participate in Field Coaching Sessions held regularly with the Regional Manager. At the end of these sessions, with the help of the Regional Manager, set individual development objectives and the corresponding action plans to implement within the time limit.

To acknowledge, pursue and complete all training objectives identified through ongoing field accompaniments or by means of internal / external training courses.

Pharmacovigilance

To be responsible for passing on any information of Adverse Drug Reaction (ADR), product complaints and falsified product incidents, including lack of efficacy related to Servier's drug products / medicinal products onto the Pharmacovigilance Department of the Company or to the assigned person as per the Pharmacovigilance reporting system of the Company.

To ensure that a preliminary report should reach the Pharmacovigilance Department /the assigned person within 24-hrs and if required, the final report shall be submitted within 7-working days, to the Pharmacovigilance Department /the assigned person.

To keep yourself updated with the Companys Pharmacovigilance document/policies and shall undergo prescribed trainings assigned by the Company in this area, from time to time.

Personal Appearance

Scientific Officer is required at all times to maintain standards of general appearance and comportment appropriate to their status within the Company.

General

To undertake such other projects and assignments as shall be requested from time to time by the Sales Management Team in order to meet Company or personal development objectives.Role & responsibilities
