Job Description

Role & responsibilities

  • Coordinate and book flights, accommodations, transportation, and other travel services for employees.
  • Ensure travel bookings align with corporate travel policies and budgetary guidelines.
  • Handle changes or cancellations in travel plans as required
  • Provide assistance to employees regarding travel inquiries, itinerary changes, and travel-related issues
  • Offer guidance on travel documentation requirements, visa applications, and travel insurance
  • Liaise with travel agencies, airlines, hotels, car rental companies, and other service providers to negotiate rates and ensure quality service delivery
  • Maintain relationships with vendors to resolve issues promptly and optimize service levels
  • Coordinate group travel arrangements for meetings .
  • Handle last-minute changes and emergency travel requirements.
  • Compare pricing across vendors to ensure cost-effective travel solutions.
  • Analyze travel expenditures and identify areas for cost optimization.
  • Prepare travel budgets and ensure adherence to travel policies.
  • Continously research new travel service providers and negotiate favourable terms .
  • Benchmark best practicesin corporate travel management and recommed improvement.
  • Maintain accurate records of travel data , invoices , and reimbursement .
  • Generate Weekly/Monthly/quarterly travel MIS reports for management review .
  • Provide data insights and analytics for decision making and policy updates .
  • Educate employees on travel protocals and provide support throughout the travel process .
  • Address employee quiries and resolve travel related issues in a timely manner.

Skills required:

  • Proven experience as a Travel Desk Executive, Travel Coordinator, or similar role
  • Knowledge of travel management software and booking systems
  • Proficiency in MS Office suite (Word, Excel, Outlook)

Key Resust Areas:

  • Travel bookings completed accurately and on time, minimizing errors and ensuring seamless travel arrangements
  • Reduction in travel expenses achieved through effective negotiation with vendors, adherence to budget guidelines, and optimizing travel bookings
