We are seeking a motivated Admin & Digital Support Executive to assist with the day-to-day operations of our accounting firm from our Ludhiana office. This individual will collaborate closely with our global team and play a central role in ensuring administrative efficiency, digital presence, and process compliance.
Administrative Assistance: Handle data entry, document organization, email coordination, appointment scheduling, and client file maintenance using firm-approved software and platforms.
Process Coordination: Monitor and enforce adherence to internal workflows, checklists, and standard operating procedures. Ensure that all tasks are completed in line with defined timelines and quality standards.
Client Communication Support: Assist with routine client interactions such as responding to emails, forwarding queries to relevant departments, and maintaining accurate records while ensuring data confidentiality.
Website Management: Make updates to the firm's website, including posting new blog articles, managing content, and ensuring all plugins and pages remain up to date. Coordinate with external web developers for more complex changes when needed.
Content & Blog Writing: Write well-researched, original blog posts on topics related to accounting, taxation, compliance, and small business finance. Ensure articles are optimized for search visibility using basic SEO techniques.
Payroll Assistance: Support payroll activities by preparing reports, tracking hours, maintaining employee records, and working with payroll software such as QuickBooks or similar tools to process pay runs accurately.
Task & Project Management: Use tools like Asana and TaxDome to manage internal workflows and project timelines. Ensure task accountability and timely completion.
Software Familiarity & Training: Get trained on and provide basic support for tools used in accounting and client management. Assist in onboarding new team members on internal administrative procedures.
Data Accuracy & Confidentiality: Maintain high standards of accuracy in all data-related tasks while handling sensitive information securely, in line with firm policies.
A Bachelor's degree in Commerce, Business Administration, Information Technology, or a related discipline. Additional certification in areas such as digital marketing, accounting, or payroll is a plus.
1 to 3 years of professional experience in administrative support, operations coordination, or digital services preferably within an accounting, finance, or consulting environment.
Excellent command of the English language (both written and verbal). Ability to draft professional communication and publish blog articles with minimal editing.
Familiarity with accounting, bookkeeping, or client management platforms. Prior exposure to tools such as QuickBooks or similar software is preferred but not mandatory.
Experience using WordPress or comparable content management systems. Knowledge of website content updates, plugins, or basic HTML is a strong advantage.
Strong written communication and research skills for creating content on financial and compliance-related topics.
Highly organized, with an ability to juggle multiple tasks and meet deadlines independently.
Comfortable using digital tools for communication and task management (e.g., Slack, Zoom, Google Workspace, Microsoft Teams).
Awareness of basic SEO and content optimization techniques is desirable.
A strong sense of confidentiality, professionalism, and data security.
Flexibility to work hours that allow some overlap with the overseas team, when needed.
