Position Title: Manager HR, Operations, Finance & Marketing


Location: Andheri East, Mumbai
Reporting To: Founder & CEO
Experience Required: Relevant 4-8 Years
Working Model: Full-time, Work-from-Office, 5 Days a Week

We are seeking a dynamic and multi-faceted Manager to play a pivotal role across the HR, Operations, Finance, and Marketing functions. This is a rare opportunity to become part of a core team at a formative stage of the company and contribute directly to its growth journey.

Key Responsibilities:

1. Human Resources:

  • Lead end-to-end recruitment for niche technology and consulting roles, from sourcing to onboarding.
  • Be the go-to HR partner for employee engagement, grievance handling, and retention strategy.
  • Establish performance management systems and feedback mechanisms aligned with startup agility.
  • Maintain employee records and ensure statutory HR compliance.

2. Operations Management:

  • Oversee day-to-day consulting business operations, handling client coordination, contracts, and invoicing.
  • Coordinate with vendors and service providers, negotiating contracts and resolving service issues.
  • Design and implement policies, SOPs, and operational workflows to support scale and agility.

3. Finance Support:

  • Support the Finance & Accounts function with timely data, reports, and compliance documentation.
  • Track invoices, reimbursements, vendor payments, and financial documentation.
  • Maintain internal trackers and coordinate with external accounting partners for audits and filings.

4. Office & Admin Management:

  • Ensure the smooth functioning of office facilities cleanliness, infrastructure, internet, supplies, utilities, etc.
  • Handle all office administration responsibilities, including managing support staff and workplace safety.
  • Serve as the escalation point for service quality or facility-related grievances.

5. Executive Assistant to Founders:

  • Manage the founders calendar, schedule internal and external meetings, and track action items.
  • Prepare for board meetings, investor updates, and key strategic engagements.
  • Act as a strategic support resource, ensuring time and communication efficiency for the founders.

6. Marketing & Communications:

  • Drive external corporate communications, website updates, and professional presence on platforms like LinkedIn.
  • Support the creation and distribution of marketing collateral, event communication, and digital branding.
  • Collaborate with internal teams to publish relevant content and thought leadership.

7. Culture & Engagement:

  • Be the culture champion of WhyMinds instilling values, empathy, and a high-performance mindset.
  • Plan and execute team-building activities, birthday celebrations, festive events, townhalls, and off-sites.
  • Drive employee cohesion, informal connects, and feedback circles for cultural alignment.

Required Qualifications & Competencies:

  • Minimum 5 years of work experience, preferably in early stage/startup environments, across multiple functions.
  • Proven track record in at least 56 of the above 10 areas of responsibility.
  • Excellent verbal and written communication skills must be able to represent the organization professionally.
  • Strong interpersonal skills and the ability to work with cross-functional teams and external stakeholders.
  • High level of ownership, adaptability, and ability to juggle multiple priorities.
  • Proficient in tools like MS Office 365, Zoho People, Payroll, Books, One Drive, Outlook, Teams, JIRA etc.
  • Being Ethical and Responsible with using AI tools and technologies
  • Entrepreneurial mindset, hands-on execution, and a collaborative team spirit are non-negotiable.
