Job Description

Job Title: Assistant Manager or Manager Accounts and Finance NGO

Department: Finance

Reports To: Will report to the Director Finance & Internal Control

Location: Mumbai

Employment Type: Full-Time


Job Summary:

The Assistant Manager / Manager of Accounts and Finance is responsible for overseeing the financial operations of the NGO, ensuring the accuracy and timeliness of financial reporting, budgeting, and adherence to applicable legal and regulatory frameworks. This role will involve managing the finance team, developing financial strategies, and closely collaborating with senior management. The individual will ensure the efficient preparation of financial statements, monitor cash flow, and manage audits and tax compliance. The position will also hold responsibility for regulatory compliance related to the sector, donor fund management, and internal controls

Accounts and Compliances

  • Regulatory Knowledge: Ensure adherence to sector-specific regulatory frameworks, including Income Tax, FCRA, GST, CSR, and other applicable laws.
  • TDS, ESIC, PF, PT Returns: Ensure timely filing of TDS, ESIC, PF, and PT returns in compliance with regulations.
  • Financial Operations: Oversee functional responsibilities across accounting, accounts payable, accounts receivable, payroll, and CSR grants administration.
  • Closing of Accounts: Close books of accounts monthly, quarterly, and annually, ensuring accuracy of accounting transactions, provisions, prepaid expenses, depreciation, etc.
  • Payments: Ensure the accuracy and timeliness of all vendors and employee-related payments, taking full ownership of the payment processes.
  • SOP Development: Develop and implement Standard Operating Procedures (SOPs) to ensure efficiency and compliance. Periodically review and revise SOPs.
  • Audit Liaison: Act as the primary point of contact for internal and statutory auditors, providing necessary documentation and ensuring smooth audits.
  • Donor Fund Management: Review donor utilization reports and track the over/under-utilization of funds to ensure proper allocation and transparency.

Financial Management:

  • Cash Flow Management: Oversee cash flow planning and ensure the availability of funds for day-to-day operations.
  • Treasury Operations: Manage cash, investments, and treasury operations, ensuring optimal liquidity and risk management.
  • Bank and Vendor Relations: Maintain positive relationships with banking institutions, vendors, and donors, ensuring effective financial operations.

Day-to-Day Duties

  • Work closely with the team to streamline the vendor payment process, ensuring timely and accurate payments.
  • Verify invoices against purchase orders and ensure that goods or services are received before making payments.
  • Upload / Maintain copies of all necessary vouchers, invoices, and correspondence for record-keeping purposes.
  • Verify bank files for electronic payments, ensuring timely disbursements via bank portals.
  • Reconcile bank statements and resolve discrepancies, if any.
  • Ensure the accuracy and timeliness of monthly payroll payments to employees.
  • Ensure that all statutory-related payments are made accurately and on time.
  • Liaise with various internal departments as necessary to ensure smooth financial operations.

Skills and Competencies:

  • Strong knowledge of accounting principles, financial regulations, and compliance requirements, especially in the NGO sector.
  • Proficiency in advanced Excel and accounting software (e.g., Tally).
  • Ability to work under pressure, meet deadlines, and produce accurate results in a fast-paced environment.
  • Independent, firm, and a collaborative team player.
  • Excellent verbal and written communication skills in English.
  • High attention to detail and accuracy in financial transactions and reporting.
  • Personal qualities of integrity, credibility, and a strong commitment to the organization's mission.

Qualification and Experience

  • B. Com, M. Com, BBA, MBA finance, CA/ICWA/CS Intermediate or equivalent.
  • 6- 10 years of experience in accounts and finance, preferably with experience in the NGO or NPO sector.
