Job Description
General Purpose of the Position
- Control the contract process for the organization.
- Ensure timely floating of tenders and awarding of contracts.
- Monitor contract terms and send legal emails to vendors in case of discrepancies from contract clauses.
- Coordinate with the site team regarding regular procurement requirements and other needs.
- Draft contracts, evaluate bids, float tenders, and award contracts post HOD approval.
- Review BOQs received from architects and consultants and explore value engineering options.
- Conduct rate analysis for procurement and contract purposes.
- Handle various agreement types, including:
- Non-Disclosure Agreements (NDAs)
- Purchasing Agreements
- Sub-contracts
- Consulting Agreements
- Licensing Agreements
- Master Agreements
- Review and negotiate vendors' proposed terms and conditions.
- Serve as the primary point of contact for all vendors on contractual matters.
- Ensure signed contracts are communicated to all relevant parties for visibility, awareness, and implementation.
- Notify the accounts department to arrange project insurance.
- Communicate with vendors and seek quotes within stipulated timelines.
Reporting and Documentation Responsibilities
- Maintain contractual records and documentation, including:
- Contract correspondence
- Vendor contact sheets
- Contractual changes
- Status reports
- Other relevant project documents
- Prepare CSQ (Comparative Statement of Quotes) and present to HOD for approval.
- Prepare cash flow statements in coordination with Head of Projects.
- Ensure all documentation and records are maintained in compliance with operational and organizational standards.
- Update and ensure adherence to policies, systems, and procedures for awarded contracts.
Training Responsibilities
- Conduct training and awareness sessions for co-staff/employees on general contractual terms and procedures.
- Generate and present monthly contract reports.
