Role & responsibilities
1. Power BI Service Administration
Provision, configure, and manage:
Power BI tenant settings via the Power BI Admin Portal.
Workspaces (classic and new experience) including licensing and capacity assignments.
Power BI Premium and Premium per User (PPU) capacities, including scaling and monitoring.
Power BI Report Server (if applicable) including installation, configuration, and patching.
Power BI Desktop standardization across the organization.
2. Monitoring and Observability
Set up and manage:
Usage metrics at tenant, workspace, and report levels (through built-in reports and APIs).
Power BI activity logs and audit logs using Microsoft 365 compliance center.
Integration with Azure Monitor and Log Analytics for centralized diagnostics.
Dashboards for monitoring refresh status, dataset size, capacity load, and usage trends.
3. Access and Identity Management
Manage user and group access:
Role-based access control (RBAC) at workspace, dataset, and report levels.
Integration with Azure Active Directory for user authentication and group management.
Row-Level Security (RLS) configuration in datasets.
Monitor and review access via Power BI Admin APIs and audit logs.
4. Security and Compliance
Implement and enforce:
Data protection policies such as Microsoft Purview Information Protection labels.
Data Loss Prevention (DLP) policies in Power BI Service.
Security integration with Microsoft Defender for Cloud Apps (formerly MCAS).
Configuration of private endpoints and VPN requirements where applicable.
Encrypted data transmission (TLS) and data-at-rest encryption assurance.
5. Connectivity & Gateway Administration
Deploy, monitor, and troubleshoot:
On-premises Data Gateway (standard and personal mode).
Gateway clusters and high availability configurations.
Scheduled refresh for imported datasets and Direct Query connectivity.
Connectivity to Azure and on-premises data sources including SQL Server, Oracle, SAP, etc.
6. Automation and Deployment Consistency
Support consistent deployment practices using:
Power BI REST APIs and PowerShell for tenant-level scripting and automation.
Deployment pipelines in Power BI Service (Dev/Test/Prod environments).
Integration with Azure DevOps or GitHub for version control and CI/CD scenarios.
Templates for workspace and dataset deployment standardization.
7. Backup, Recovery, and Versioning
Ensure continuity and data availability:
Export and version control of PBIX files.
Dataset versioning strategies via Git integration or CI/CD pipelines.
Backup strategies for Power BI Reports and Dashboards (manual or automated using APIs).
Define and maintain SLAs for report availability and data refresh cycles.
8. Cost and Resource Optimization
Monitor and optimize:
Premium capacity metrics (CPU, memory, query wait time) for performance tuning.
License usage and assignment (Free, Pro, Premium per User).
Idle datasets, unused reports, or stale workspaces.
Collaborate with FinOps/IT to manage workspace allocations and licensing costs.
9. Documentation and Governance Standards
Maintain and enforce:
Workspace naming conventions, tagging, and metadata standards.
Power BI Governance policies and user onboarding guides.
Operational runbooks for gateway setup, troubleshooting, and refresh management.
Escalation procedures, service desk SOPs, and support SLAs.
