    Job Summary

    The Receptionist will be the first point of contact for all visitors and callers, providing a professional and welcoming experience. This role is essential for maintaining an organized and efficient front desk, handling communications, and providing administrative support to ensure the smooth operation of our office. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a customer-centric approach.

    Responsibilities

    • Front Desk Management:
      • Warmly greet and welcome visitors, clients, and guests as they arrive at the office.
      • Direct visitors to the appropriate person or department, ensuring a smooth and efficient flow.
      • Maintain a tidy and presentable reception area at all times.
    • Communication Handling:
      • Answer, screen, and forward incoming phone calls in a professional and efficient manner.
      • Take accurate messages and ensure they are promptly delivered to the correct individuals.
      • Handle general email inquiries and redirect them as needed.
    • Mail & Deliveries:
      • Receive, sort, and distribute incoming mail, packages, and faxes.
      • Coordinate outgoing couriers and postal services.
    • Administrative Support:
      • Assist in scheduling appointments and managing meeting room bookings.
      • Perform basic data entry and update records in our systems.
      • Monitor and maintain inventory of office supplies, placing orders when necessary to ensure availability.
      • Assist with the preparation of basic documents, presentations, and reports.
      • Maintain and organize physical and electronic filing systems.
    • Office Support:
      • Provide general administrative and clerical support to other departments or staff members as needed.
      • Assist with basic setup for meetings or presentations (e.g., preparing refreshments, ensuring equipment is ready).
