Job Description

Company Overview:

Sundew is a digital transformation leader with 18+ years of expertise in Digital Strategy, Cloud-Native Development, AI, and Product Engineering. Were looking for a dynamic Admin Executive to ensure smooth workplace operations, manage vendors, and support a safe and efficient work environment.

Key Responsibilities:

Facilities & Infrastructure Management:

  • Oversee daytoday upkeep of office premises, utilities, security, housekeeping, infrastructure.
  • Monitor and replenish office supplies and pantry stock.
  • Look after the Admin-Operation of the company.
  • Address day-to-day operational issues and ensure timely resolution.

Vendor & Procurement Management:

  • Assist in vendor registration and ensure all relevant documentation is maintained.
  • Identify, evaluate, and onboard vendors; negotiate contracts and servicelevel agreements.
  • Coordinate with vendors for office services (stationery, housekeeping, maintenance, etc.).
  • Track service quality and manage payments in coordination with the accounts team

Travel & Logistics Support:

  • Manage company travel desk for flight, rail, hotel, visa, and cab bookings.
  • Coordinate fleet requirements, airport transfers, courier services, logistics support or any other related services as needed.

Asset & Inventory Control:

  • Maintain a comprehensive asset register (IT & nonIT)
  • Maintain accurate inventory of IT assets (laptops, desktops, accessories, etc.)
  • Perform asset tagging and ensure all equipment is properly labeled and recorded
  • Track and manage the lifecycle of fixed IT assets
  • Coordinate asset handover for new joiners and outgoing associates on behalf of IT
  • Ensure proper execution and documentation of asset acknowledgement forms.
  • Generate BCP as per defined process
  • Conduct periodic audits, oversee tagging, and track movement of assets.
    Manage stationery, personal protective equipment, and corporate gifts.

Compliance, Health & Safety:

  • Ensure adherence to statutory requirements: Fire Safety
  • Facilitate safety drills, firstaid training, and emergency evacuation plans.

Budgeting & Cost Control:

  • Prepare the annual admin budget and track actual expenditure, highlighting variances.
  • Maintain soft and hard copies of admin-related documents such as agreements, licenses, and contracts.
  • Support audits by keeping documentation ready and up to date.

Visitor & Front Desk Management:

  • Greet and assist visitors and coordinate meeting room bookings.
  • Handle incoming calls and general inquiries.

Record Keeping & MIS:

  • Generate weekly/monthly MIS reports on admin KPIs (costs, complaints, resolutions, vendor performance).
  • Provide administrative support to the IT department for day-to-day tasks and special projects
  • Proficient in Asset Management Tool

Stakeholder Coordination:

  • Act as a central point of contact between internal teams (HR, IT, Finance, Security, Management etc.) and external stakeholders.
  • Coordinate with department heads to support their administrative needs and ensure seamless service delivery.
  • Liaise with facility management, building authorities, and vendors for timely resolution of issues.
  • Maintain clear and timely communication with all stakeholders regarding admin-related updates, escalations, and approvals.
  • Support cross-functional initiatives and ensure alignment with company policies and processes.

Requirement of Skill sets:

  • 3+ years of admin experience, preferably in IT/corporate setup
  • Strong English communication (verbal & written)
  • Excellent interpersonal & vendor negotiation skills
  • Proficient in MS Office, Google Workspace, spreadsheets, and asset tools
  • Graduate/Diploma (B.A., B.Com, BBA or equivalent)
  • Analytical mindset with MIS reporting skills
