Job Description

Key Responsibilities:


1. Travel Planning & Booking

  • Plan and execute travel itineraries for employees, ensuring economical and safe options. Book international and domestic air tickets, hotels, and local transportation.
  • Handle urgent and last-minute travel requirements.

2. Visa & Immigration Management

  • Coordinate with embassies, consulates, and visa agents to ensure timely visa issuance.
  • Maintain a checklist of visa requirements per country and guide travelers accordingly.
  • Keep updated with global travel advisories and immigration laws.
  • Arrange for airport pickup and drop, intercity transportation, and local travel assistance.
  • Coordinate with drivers/agencies for vehicle availability in India and abroad.

4. Vendor Management

  • Maintain and negotiate relationships with travel agents, hotels, airlines, transport providers.
  • Monitor service quality, cost efficiency, and adherence to service-level agreements (SLAs).
  • Establish and manage an in-house travel desk.
  • Develop SOPs, maintain travel logs, dashboards, MIS, and monthly reports.
  • Handle 24x7 assistance and coordination through phone/email for traveling staff.
  • Enforce travel policies, expense limits, and travel class eligibility.
  • Monitor travel expenses and suggest cost-saving strategies without compromising comfort/safety.

5. Emergency Support

  • Provide assistance during travel disruptions (flight delays, cancellations, health issues).
  • Ensure travelers are supported in crisis situations (lost documents, border issues, etc.).

6. Customer Service & Internal Coordination

  • Liaise with HR/Admin/Finance/Project teams to gather requirements and approvals.
  • Offer courteous, solution-oriented, and prompt service to employees.

Key Requirements:

  • Location : Mumbai
  • Experience:
    • Minimum 812 years of experience in managing corporate travel.
    • Experience in international travel coordination, especially in industrial/Oil & Gas/project-based sectors, is preferred.
  • Education:
    • Graduate in any discipline (preferably with certification in travel/tourism/management).
