Job Title: US Payroll Manager
Location: Mohali, Chandigarh, India

We have implemented a Shared Services Center in Mohali, India to support Global Operations in areas of Finance & Accounting, Trade Operations, Treasury and IT Support and other back office support Services.
Scope of this position:
- The Payroll Manager will oversee the full Payroll Process across all Group Companies/ Entities within the North America (NA) (US, CA and MX) and oversee the administration of all Company Benefits.
- The Payroll Manager will act as the main point of contact for Staff and Management for any Payroll related queries
- The Payroll Manager is also one of the main liaisons between the Company's external Payroll Provider.
- Proactive liaison with the internal Finance Department; in order to ensure the smooth running of Payroll on a monthly basis.
Role and Responsibilities:
Payroll:
- To undertake full day to day management of the Company's Payroll for employees in North America; Including but not limited to the collating and submission of accurate monthly Payroll information (for all Group Companies within NA), to the Company's external Payroll Provider and In-house Finance Department.
- Full responsibility for the implementation of payroll database - including regular auditing, maintenance and monitoring the system for efficiency.
- Addition of new starter to the relevant Company Payroll and removal of leavers from the relevant Company Payroll.
- To act as main point of contact for all Payroll related queries submitted by Staff, Management, the Company's external payroll provider and any other relevant third party, including but not limited to Statutory body, Job Centre Plus, Private medical insurance and Pension.
- To ensure the Company's Payroll is processed within the prescribed deadlines each week / fortnight / month.
- To ensure relevant approval processes had been followed and relevant approvals obtained in compliance with Company Policy, where relevant.
- Seek and implement improvements to the Payroll Process in conjunction with Head of Payroll / Global head of payroll onshore
- Maintain accurate Payroll Records, including reconciliation of Payroll accounts.
- Work closely with the wider Human Resources and Recruitment Team where Payroll processes overlap with HR and/or Recruitment processes.
- Streamline processes between HR, Payroll and Finance.
- Full participation in payroll audits, both internal and external requests. Be responsible for processing all company benefits administration - DB, DC, childcare vouchers, eye care vouchers, pension, private medical healthcare, life insurance etc.
- Processing and calculating benefits - pensions auto-enrolment, bonuses, etc.
Statutory Payments:
Assist the HR Advisors / Business Partner for Maternity, paternity and/or Adoption Queries, including the calculation of:
- Maternity Pay
- Paternity Pay
- Adoption Leave Pay
- Redundancy
Advising Staff and Managers on maternity, paternity and/or Adoption leave Payments as required
Reporting:
- Ensure that all instructions received from HR, benefits and other service providers are accurately administered.
- Create a monthly Salary Report (in the required format) for all US Payrolls.
- Produce monthly MI Reports in the areas of:
o New Starters
o Leavers
o Holiday and Absence
o Bonus & Commission
Ad Hoc:
- Enforce the Company's Payroll Processes strictly, and liaise with the wider HR Advisors / Business Partners in relation to Managers who are consistently failing to comply with the Company's Payroll processes.
Required Candidate profile
Required:
- 8-10 years' experience with large multi-state payroll tax filing, automated payroll and accounting software required
- Experience in multi geography and multi company payroll experience
- Implementation of payroll database.
- Must have experience of US Payroll end to end processing.
- Strong experience of using payroll systems.
- CPP certification desired
- Knowledge of ADP platform and e-time solution desired
- Experience with SuccessFactors/ SAP mandatory
- Strong research and analytical skills
- Maintain high regard for confidentiality
- Enthusiastic team player who is highly self-motivated
- Proficient in Microsoft Office products
- Detail oriented with high level of accuracy
Transition Experience:
- Lead or participate in 3 or more Payroll transitions from NA to offshore
- Has a valid B1 visa allowing for travel to the US within 2020
- Is well versed with developing process documentation - Process maps, instructions, job guides / SOP
- Understanding of payroll Service Levels and contractual obligations.
Knowledge & Skills:
- Working knowledge of US state wise legislation
- Strong sense of urgency and discipline for timelines
- Knowledge of US HR practices, techniques and standards
- Technical payroll knowledge.
- Understanding of statutory reporting requirement in US
- Understanding of benefits process and administration.

- Strong experience of working on: SuccessFactors / SAP, ADP and OpenText (desirable)
