Job Description
Job purpose: Serves visitors by greeting, welcoming, and directing them appropriately. Notifies company personnel of visitor arrival. Maintains security and telecommunications system. Informs visitors by answering or referring inquiries. Directs visitors by maintaining employee and department directories. Taking care of Admin work and assisting Ops team.
Job Description:
- Attending and maintaining the records of visitors and inquiries over call or on common email.
- Meeting and greeting clients.
- Booking meetings.
- Arranging couriers.
- Keeping the reception area tidy.
- Answering and forwarding phone calls.
- Screening phone calls.
- Sorting and distributing post
- Manage office supplies stock and place orders
- Prepare regular reports on expenses and office budgets
- Maintain and update company databases
- Organize a filing system for important and confidential company documents
- Answer queries by employees and clients
- Update office policies as needed
- Maintain a company calendar and schedule appointments
- Book meeting rooms as required
- Distribute and store correspondence (e.g. letters, emails and packages)
- Prepare reports and presentations with statistical data, as assigned
- Arrange travel and accommodations
- Schedule in-house and external events
- To assist Ops or Recruitment team if required.
