We are looking for a dynamic and highly organized Executive Assistant (Female) to provide comprehensive support to the Director. The ideal candidate will have prior experience working closely with senior leadership and be adept at managing both business and personal tasks with discretion and efficiency.
Act as the point of contact for calls, messages, and emails on behalf of the Director.
Review, prioritize, and draft responses to incoming emails and correspondence.
Manage both personal and professional calendars, including scheduling meetings and appointments.
Organize domestic and international travel arrangements (flights, transport, and accommodations).
Coordinate internal and external meetings, including video/teleconferences with clients or partners.
Liaise with different departments to follow up on tasks and updates as assigned by the Director.
Prepare for board and senior-level meetingsagenda creation, document preparation, and logistics.
Welcome and assist visitors, guests, and senior-level clients in a professional manner.
Handle personal errands and assignments as required by the Director.
Draft and respond to communication directed to senior client contacts.
Prepare and submit expense reports and reimbursement documentation.
Manage day-to-day office operations including ordering supplies and organizing documents.
Assist with general administrative tasks such as document drafting, filing, and record maintenance.
Maintain internal communication and serve as a liaison between departments and the Director.
Coordinate with external vendors, service providers, and suppliers for office needs.
Support HR functions including interview scheduling and maintaining confidential employee records.
Draft and edit routine correspondence for the Directors review and approval.
Assist in organizing internal events and corporate functions.
35 years of experience as an Executive Assistant, preferably supporting a Director or MD.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Professional phone etiquette and interpersonal skills.
High level of attention to detail and the ability to maintain confidentiality.
A proactive and customer-focused mindset with a positive attitude.
