 Facilities Workplace Specialist

Job Description

Maintain office by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, ID, and access cards)

  • Order front office supplies and keep an inventory of stock
  • Update calendars and schedule meetings related to facilities
  • Manage travel, accommodations, Forex and VISA requirements
  • Keep updated records of office expenses and costs in coordination with the facilities team
  • Engaging with HR and Line of business related to facilities aspects
  • Work closely with HR Finance team for employee engagement activities, office decoration.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing
  • Help interview candidates by directing them to the respective hiring manager/HR
  • Assist in general administrative activities and contribute to the Monthly Management Report (MMR)
  • Participate in Emergency Evacuation procedures including crisis management and business continuity
  • To act as a backup to facilities team in case of emergency/requirement
  • Assist in utilization of conference /meeting rooms and Co-ordinate with facilities team for event management
  • Greet and welcome guests/clients as soon as they arrive at the office and direct visitors to the appropriate person
  • Responsible for handling incoming and outgoing calls including distribution. Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
Education And Experience
  • Graduate in any discipline
  • 4+ years experience in a similar function
  • Computer Literacy: Strong Knowledge of Microsoft Office applications (Outlook, Excel, PowerPoint, and Word).
  • Proven ability to collaborate and function effectively as part of a team
  • Good communication skills and knowledge on facilities administrative domain.
