Job Summary:

The Manager Logistics will be responsible for overseeing all logistics operations at the branch, ensuring timely deliveries, cost efficiency, and compliance with company policies and regulatory requirements. This role involves supervising vehicle deployment, managing outstanding receivables, maintaining fleet performance, ensuring proper documentation, and tracking operational efficiency through defined KPIs. The incumbent will also be responsible for risk management, driver performance evaluation, and dispute resolution.

Key Responsibilities:

1. Operations & Fleet Management

  • Oversee end-to-end logistics operations at the branch, ensuring efficient planning and execution.
  • Supervise daily vehicle placement and trip scheduling to optimize fleet utilization.
  • Monitor loading, unloading times, and turnaround efficiency, implementing process improvements to reduce delays.
  • Ensure proper GPS tracking of all vehicles and proactive issue resolution for route deviations.
  • Maintain urea consumption records, analyze fuel efficiency, and address excessive usage.
  • Generate and submit daily, weekly, and monthly reports on logistics performance to senior management.

2. LR, POD, & Documentation Management

  • Ensure timely collection of Lorry Receipts (LRs) from drivers and reconcile with dispatch records.
  • Oversee POD (Proof of Delivery) verification, ensuring accurate documentation and tallying against invoice quantities.
  • Investigate shortages, damages, or discrepancies and initiate necessary adjustments from driver salaries or vendor claims.

3. Financial Oversight & Cash Flow Management

  • Track and manage outstanding receivables, ensuring timely follow-ups and collection.
  • Maintain oversight of branch cash flow, including driver advances, operational expenses, and vendor payments.
  • Work closely with the finance team to ensure expense reconciliation and cost control.

4. Compliance & Legal Adherence

  • Ensure adherence to logistics regulations, and vehicle compliance standards (permits, insurance, fitness certificates).
  • Implement safety protocols for drivers and ground staff, conducting regular compliance audits.
  • Address legal and regulatory challenges related to logistics and transportation operations.

5. Driver & Staff Supervision

  • Manage driver performance, attendance, and discipline, ensuring adherence to company policies.
  • Implement a structured driver training program on safety, fuel efficiency, and documentation management.
  • Monitor driver behavior through telematics and GPS analytics, enforcing penalties or incentives as needed.

6. Risk Management & Contingency Planning

  • Develop contingency plans for vehicle breakdowns, route diversions, and emergency logistics support.
  • Maintain an escalation matrix for operational disruptions, coordinating with relevant stakeholders for resolution.
  • Proactively identify risks related to delivery delays, pilferage, and operational inefficiencies, implementing corrective measures.

7. Client & Vendor Coordination

  • Act as the primary point of contact for clients, ensuring seamless communication on deliveries and order fulfillment.
  • Manage relationships with vendors, transporters, and service providers for optimal cost efficiency.
  • Resolve client complaints regarding damaged or delayed deliveries, ensuring corrective action is taken.

Key Skills & Competencies:

  • Strong leadership and team management abilities.
  • In-depth understanding of logistics operations, fleet management, and supply chain efficiency.
  • Hands-on experience with GPS tracking, telematics, and logistics automation tools.
  • Strong financial acumen with experience in outstanding receivables and cost control.
  • Problem-solving and decision-making skills for dispute resolution and contingency planning.
  • Excellent communication and client-handling skills.

Qualifications & Experience:

  • Bachelors degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 8-12 years of experience in logistics operations, with at least 3 years in a managerial role.
  • Proficiency in logistics software, fleet management tools, and MS Excel for reporting.
  • Strong knowledge of transport regulations, labor compliance, and vendor management.
