As the Facilities Specialist Liferay India Pvt. Ltd., you are the vital link ensuring that our workspace operates seamlessly and reflects Liferay s culture and mission. You will be responsible for creating and maintaining an environment that enables collaboration, productivity, and employee satisfaction. From managing office supplies to coordinating vendor relationships and supporting travel and events, your work ensures that the facility supports our people and our purpose.

Ensure the smooth, proactive operation and maintenance of office facilities.
  • Represent Liferay while interacting with vendors, contractors, and employees to support business needs effectively.

    Responsibilities:
  • Procure and maintain inventory of office supplies, including pantry items, beverages, and consumables ensuring cost efficiency and availability.
  • Oversee the maintenance of furniture, equipment, and facilities to meet compliance standards; schedule necessary repairs and upgrades.
  • Manage vendor relationships for all office-related services and supplies, ensuring service quality and value for money.
  • Support local leadership in coordinating logistics for internal meetings, external visitors, and special office events.
  • Lead planning and logistics for events hosted at Liferay India.
  • Manage the travel desk handling bookings for employees and guests, and ensuring a seamless travel experience.
  • Ensure timely invoice processing and payments for all facility-related vendors.
    Oversee compliance with building safety norms, including fire safety protocols and evacuation training.
    Act as the communication point for office-related announcements and updates.
    Manage incoming and outgoing mail and packages, including sorting and distribution.
    Coordinate deployment of equipment and office assets to remote employees.
    Maintain accurate inventory of hardware, furniture, and other assets.
    Prepare employee workstations, including hardware imaging and setup.
    Maintain and support office equipment such as printers and projectors.
    Ensure proper documentation and collaborate with the Finance team during audits.
     
    Support to the People team (30%)
    Collaborate with the People Team to organize employee engagement events and office celebrations.
    Assist with visa processing for employee travel related to conferences and official visits.
  • Support HR-driven initiatives to foster employee connection and culture at the India office.
  • Take on additional assignments from the People Team as required.
     
    Required Qualifications
    Minimum of 3 years of experience in facilities and/or office management
    Bachelor s degree or equivalent in any discipline Demonstrated ability to manage emergencies calmly and effectively
  • Strong project management skills with the ability to prioritize tasks, plan efficiently, and execute projects within deadlines
  • Excellent communication and active listening skills for engaging effectively with vendors, contractors, and internal teams
  • Strong interpersonal skills with the ability to build positive working relationships
    Self-motivated and proactive with the ability to work independently and take initiative
  • Fluency in Kannada (native level) and professional proficiency in English; Knowledge of any additional language is a plus
  • Familiarity with IT support and basic troubleshooting related to hardware and software is an advantage
  • Basic understanding of Mac and Windows operating systems is desirable
