Job Overview

The Executive Trave Desk will be responsible for managing all travel requisitions (Domestic /International) including arrangements for air tickets, hotels, cars, insurance, and foreign exchange.


Job Description

  • Respond swiftly and book all international and domestic airline tickets promptly.
  • Process visas and domestic booking requests swiftly.
  • Oversee overseas medical and travel insurance for employees on business trips.
  • Arrange and issue foreign exchange to travelers.
  • Secure the most competitive fares for air tickets, hotels, and transportation.
  • Comply with VFS Global's information security policies and procedures relevant to the role.
  • Adhere to Standard Operating Procedures and policies when processing bookings.
  • Uphold the mandated turnaround time for all travel requests.
  • Maintain daily ticket registers for international and domestic ticket issuance to compare ticket costs.
  • Document and account for all daily travel-related transactions.
  • Collaborate with finance to ensure timely payments to vendors (agents, airlines, hotels, car rentals, insurance, forex) by submitting invoices in the required format.
  • Maintain records of all travel and related expenses
  • Liaise with travel agents, airlines, and vendors for domestic and international hotel bookings.
  • Pursue professional development through attendance at job-related training programs.
  • Guarantee internal customer satisfaction.
  • Negotiate with vendors to obtain the most competitive rates.

Anti Bribery Management Systems (ABMS)

  • Follow the ABMS roles and responsibilities details as prescribed on the ABMS manual.

a. Understanding of ethical standards and the importance of integrity in business practices.

Education

  • Graduate or global equivalent.

Experience

1-2 years of relevant experience in the travel industry.
