Job Title: Executive Assistant to the Founder & CEO
Were looking for an exceptionally organized, sharp, and proactive Executive Assistant (EA) to work directly with our Founder & CEO. This is not just a coordination rolethis is a role for someone who thrives in chaos, turns ambiguity into action, and helps our leader focus on what matters most.
As the EA, you will be the bridge between strategy and execution, ensuring the CEOs time, energy, and ideas are aligned with fast-moving goals. Key Responsibilities
Calendar & Meeting Management
Manage the CEOs calendar with precisionprioritize, reschedule, protect focus time.
Coordinate internal/external meetings, events, and travel plans.
Ensure CEO is well-planned for the meetings with agenda, briefs, and background notes.
Communication & Coordination
Draft. Review. and manage communication on behalf of the CEO (emails, briefs, messages).
Act as a gatekeeper -- filter incoming requests, prioritise urgency, and manage follow ups.
Follow up with teams, partners, and external stakeholders on action items.
Planning and Project Coordination
Track ongoing projects, including Strategic projects, and ensure timely progress updates to the CEO.
Planning with departments heads on strategic goal accomplishment and task prioritisation
Collaborate with teams to check project progress and gather data and reports needed for decision- making
Ensure the dashboards, trackers, and reports are updated in timely manner for keeping CEO aligned to current situations.
Meeting Support
Attend meetings, capture structured minutes, and ensure follow-through on minutes finalised.
Prepare background notes, agendas, and decks before meetings.
Research & Documentation
Conduct quick research on prospective partners, donors, policies, or key trends.
Support with writing, editing, or designing documents, presentations, or reports.
Travel & Event Logistics
Plan and manage travel itineraries, bookings, and logistics.
Coordinate with CEO participation in forums, events, and / or panels
Coordinate for speaker notes or panel briefs if CEO is attending public events.

Familiarity with project management tools (Notion, Asana, Trello, etc.) is a plus.
Comfort with formatting documents, coordinating travel, and online meeting tools.
